Annual San Diego Rental Property Maintenance Checklist - For Fewer Costly Surprises
Property maintenance isn’t an especially exciting topic… until a heater stops working during the first cold weekend, a heavy rainstorm meets a clogged gutter, or an oven gives up with a holiday turkey inside.

Many expensive property problems start as small issues that could have been caught earlier. That’s why preventive maintenance and proper tenant communication are some of the most important parts of protecting a rental property.
Of course, San Diego properties come in all shapes, sizes, and ages. A maintenance plan that works for a newer condo may not make sense for an older home, apartment building, or commercial property. Some properties sail through a rainstorm without a care in the world. Others see three clouds gathering and immediately start cause for concern.
That’s why we don’t rely on one generic checklist for every property. We combine seasonal reminders, property-specific maintenance records, and detailed inspections during vacancies to catch problems early, reduce emergency service calls, and help protect our clients’ investments.
Here’s what that looks like throughout the year.
❄️ Winter: Heating and Rain Preparation
San Diego winters may be mild, but the first cold spell still sends a wave of service requests to local HVAC companies. Apparently, heaters enjoy waiting until everyone needs them at once before revealing their problems.
Before colder weather arrives, we have tenants test their heaters and report anything that isn’t working properly. Finding an issue early gives us the chance to schedule service before HVAC vendors enter their busiest season. That can mean shorter delays and fewer emergency trip charges.
For properties with central heating and air conditioning, we regularly remind tenants to check their air filters. A dirty filter can restrict airflow, make the system work harder, and contribute to unnecessary wear.
Rain preparation is also property-specific. We maintain records of properties with known drainage concerns so we can take the appropriate steps before a major storm. Depending on the property, that may include:
- Clearing storm drains
- Placing sandbags
- Checking sump pump operation
- Tending to gutters that frequently collect leaves or debris
FEMA also recommends keeping drains and gutters clear and keeping sump pumps operational to help reduce the risk of flood-related property damage.
Because once the rain starts falling sideways, it’s a little late to wonder whether the sump pump still works.
☀️ Spring and Summer: Air-Conditioning Checks
We take a similar approach as warmer weather approaches.
Tenants with air conditioning are asked to test their systems before the first major heat wave and let us know if something isn’t working correctly. This gives us a chance to address problems before temperatures climb and every HVAC vendor in San Diego receives 400 urgent phone calls before lunch.
Planning ahead can mean faster service for tenants, fewer emergency charges for owners, and considerably less time spent staring angrily at the thermostat.
🍁 Fall and the Holidays: Oven Checks
Before major holidays, we ask tenants to make sure their ovens are working correctly.
This may seem like a small detail, but an appliance problem discovered early is much easier to address than one discovered when a holiday turkey is on the line.
A simple reminder gives us time to arrange repairs before appliance technicians become booked for the holidays and helps tenants avoid hosting the kind of Thanksgiving everyone remembers for all the wrong reasons.
🗓️ Every Quarter: Plumbing Prevention
Plumbing backups and unnoticed leaks can quickly become expensive, so tenant education is an important part of our preventive maintenance strategy.
We send quarterly reminders asking tenants not to flush:
- Wipes of any kind, including products labeled “flushable”
- Feminine hygiene products
- Anything else that belongs in the trash
Despite what the packaging may suggest, “flushable” does not necessarily mean “friendly to plumbing.” In fact, wipes are the number-one cause of plumbing backups in the properties we manage.
The EPA similarly recommends flushing only toilet paper because wipes and other materials can damage household plumbing and municipal wastewater systems.
We also remind tenants not to use caustic drain cleaners. These products may promise a quick fix, but they can damage plumbing over time, turn a blockage into an unpleasant sludge, harm the environment, and create a safety hazard for the vendors who eventually need to work on the drain.
Basically, they don’t make the clog disappear. They give it a more complicated personality.
Most importantly, we ask tenants to report leaks and running toilets immediately. A running toilet may not look like an emergency, but even a small or silent leak can waste thousands of gallons of water over time and quietly increase an owner’s water bill while pretending nothing is wrong.
We, of course, then send out our trusted plumbers to fix asap when there are any signs at all of a leak.

Preventive property maintenance doesn’t mean performing every imaginable task at every property. It means knowing the building, keeping accurate records, communicating with tenants, and managing known vulnerabilities at the right time.
